Swift SOAP ("Swift SOAP," "we," "us") provides an app that helps veterinary professionals record consultations and turn them into structured clinical notes. This policy explains what information we collect, how we use it, and the choices you have.
Information We Collect
Account information
When you create an account, we collect your email address and authentication credentials.
Consultation content
When you record a consultation, we process the audio to generate a transcript, a structured clinical note, and AI-assisted diagnostic suggestions. We retain the transcript, the generated note, and any edits you make to it. We do not retain the original audio recording — it is deleted from our servers immediately after processing completes, whether or not that processing succeeds.
Patient records
Information you enter about a patient — such as the animal's name, species, breed, and the owner's name — is stored so you can find and reuse it across consultations. Some of this information may also be inferred automatically from a consultation's transcript and flagged for your review before it's saved.
Payment information
Subscription payments are handled by our payment processing partners — depending on how you subscribe, this may include Apple's or Google's in-app purchase systems, or a third-party payment processor for purchases made on the web. We do not receive or store your full card number, only limited billing information needed to manage your subscription, such as its status and renewal date.
How We Use Your Information
We use the information above to:
- Generate transcripts, clinical notes, and diagnostic suggestions from your consultations
- Let you search our veterinary reference material for citations relevant to a case
- Maintain your account, patient records, and consultation history
- Process subscription payments and manage billing
- Provide customer support and respond to your requests
How We Share Information
We do not sell your information. We share it only with the service providers that help us run Swift SOAP, each of which processes data solely on our behalf:
- Authentication, database, and storage providers — to operate your account and securely store your data
- AI and language-processing providers — to transcribe consultation audio and generate notes and diagnostic suggestions
- Search infrastructure providers — to find relevant citations in our veterinary reference library; the search terms used are clinical terms (e.g. symptoms, species) and never include owner names or audio
- Payment processors — including app store billing systems and/or third-party payment processors, to manage subscriptions
- Cloud hosting providers — to run our servers
We may also disclose information if required by law, or to protect the rights, safety, or property of Swift SOAP, our users, or others.
Data Retention
We retain your account, patient records, transcripts, and clinical notes for as long as your account is active, so you can access your consultation history. Original audio recordings are never retained past processing. If you delete a consultation or patient record, it is removed from your account.
Your Rights & Account Deletion
You can delete your account and all associated data at any time — see Delete Your Account for both self-service and email options. Depending on where you live, you may have additional rights over your personal information under laws such as the GDPR or CCPA; contact us to exercise them.
Data Security
We use industry-standard measures, including encryption in transit, to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Cookies & Analytics
Our website and web app use a cookie banner to ask for your consent before loading any optional analytics tools, such as Google Analytics. If you accept, we may use aggregate, anonymized usage data (like which pages are visited) to understand how the site is used — we do not use this data to identify individual patients or their records. You can decline, and your choice is remembered on that device. Some cookies that are strictly necessary for the site or app to function, such as keeping you signed in, aren't covered by this choice.
Children's Privacy
Swift SOAP is a professional tool intended for use by veterinary practitioners and staff. It is not directed at, and we do not knowingly collect information from, children.
Changes to This Policy
We may update this policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, notify you directly.
